What an aircon servicing quotation should include
Record your business name and contact details, a customer label, quotation date and validity period. Confirm the service, number of units and unit type before calculating the price. Add the service area, access requirements and requested date. Keep an unconfirmed appointment clearly marked as a request.
Separate the unit charge, minimum service charge, visit fee and applicable tax. Explain what is included and what would need a separate assessment. A customer should be able to tell whether the quote covers general servicing, chemical wash, or a different job.
A worked quotation using illustrative rates
These figures demonstrate the calculation; they are not Singapore market rates or recommended prices. Suppose your approved rate is S$25 per unit, with a S$50 minimum service charge and a S$10 visit fee.

The minimum is a floor, not an extra S$50 charge. With one unit at S$25, the service subtotal becomes S$50; the visit fee then makes S$60 before applicable tax. Review your own tax treatment before issuing a quote. The iServices subscription GST is separate from the tax your aircon business charges its customers.
Use scope to prevent misunderstandings
Write down the unit type and service included. State how you handle parts, repairs, additional work, difficult access and parking charges where applicable. Avoid presenting a repair price as confirmed before assessing the fault. Chemical wash and overhaul should not be treated as interchangeable services.

What the customer receives: quotation and WhatsApp summary
Use a formatted PDF for the full quotation and a short WhatsApp message for the next action. This fictional example uses the three-unit calculation above: S$75 for servicing plus a S$10 visit fee, giving S$85 before any applicable tax. Replace every placeholder and confirm the final total before sharing.

Make the quote with your own rates
- Open Business setup and replace the demo identity, contact details and rates.
- Create and preview your quotation. Check the unit count, minimum charge, visit fee, tax and final total.
- Export the PDF. Open your customer conversation and attach the downloaded file manually; copying a WhatsApp summary does not attach it.
- Save the quote and choose a next action. Use the worked follow-up example when the customer needs time to decide.
Can a customer request a booking from the quote?
Plus members can create a customer booking link from a saved quotation. The customer submits a request for your review; your team still confirms the appointment. Preview the customer booking page before sharing a real link.
Can I reuse an old quotation?
Create a revision and review it before sending. Revisions use your current business name and contact details while keeping the saved quote's rates for review. Check pricing and validity whenever the scope changes or the previous quote expires.
