How to follow up aircon quotations

A quotation needs a next action. This routine helps an owner keep track of open enquiries without promising a booking or repeatedly chasing a customer who has declined.

Give every open quote a next action

After sharing a reviewed quote, record the service, customer label, area, quote total and stage. Set a follow-up date that suits the customer's request. If they say they will decide next week, use that timing. If the job is urgent, ask when they need a decision and whether the proposed service still fits.

There is no universal timing that guarantees a sale. Treat the dates below as a starting routine to adapt, not a sales promise. Keep customer preferences and agreed contact times in your notes.

A first quotation follow-up

Hi, this is [name] from [business], following up on the quotation for [service] on [number] units. Would you like us to clarify anything about the scope or price? If you would like to proceed, share your preferred date and we will check availability before confirming the appointment.

When the customer's timing has changed

Hi, checking whether you still need [service] or would prefer us to close this enquiry for now. If your timing has changed, let us know when you would like to revisit it. The quotation was valid until [date], so we will confirm current pricing and availability before any booking.

Worked example: a S$75 aircon quotation in Tampines

This fictional enquiry shows how to keep a follow-up useful: “Can you service three wall-mounted units in Tampines? Saturday preferred.” For this example only, the contractor has approved a rate of S$25 per unit, with no additional fees or GST charged. These are demonstration rates, not a Singapore market price recommendation.

  1. Confirm the service. Check that the customer needs general servicing and that all three units fit the quoted scope. A water leak or cooling fault may need assessment before pricing repairs.
  2. Review the quotation. Three units × S$25 = S$75. List the included work, exclusions and validity date. Replace the demo business name and add your contact details in Business setup.
  3. Send the document and a short summary. Export the PDF and attach it in your own WhatsApp conversation. A copied summary does not attach the PDF automatically.
  4. Save a next action. Record the quote as quoted, then choose a follow-up date that respects the customer's timing. Saturday is a request until your team confirms availability.

The message accompanying the quotation

Hi [customer name], attached is our quotation for general servicing of 3 wall-mounted aircon units in Tampines. Total: S$75 for the scope listed in the quotation. Parts, repairs and additional work are excluded unless listed. Saturday is requested, subject to our availability. Please review the PDF and let us know if you would like us to check a slot. [Your name] · [Business name]

Before sending, replace the placeholders and adjust the message to match your actual quotation, tax treatment and approved service scope. Use anonymised enquiry details when trying an AI draft.

If the customer has not replied

Hi [customer name], following up on the S$75 quotation for servicing your 3 wall-mounted units in Tampines. Is there anything you would like clarified about the included work? If you still prefer Saturday, we can check availability before confirming. If you have made other arrangements, let us know and we will close this enquiry.

If the customer asks for a lower price

Explain the included work first. Do not use AI to invent a discount, availability or repair diagnosis. If you approve a different scope or price, create and review a revised quotation, then share that version so the customer knows which total applies.

If the customer wants to book

Plus members can create a customer booking link from a saved quotation. Share it with the customer so they can submit their requested details. A booking request still needs your review and appointment confirmation; it does not reserve a technician automatically.

Common questions about aircon quotation follow-ups

Can I send the quotation straight to WhatsApp?

You can copy a short message or open a WhatsApp draft, then review and send it yourself. Download the quotation PDF and attach it separately for a clear, formatted document.

Should I keep following up after a customer declines?

Close the sales enquiry when they decline or ask you to stop. If they explicitly ask you to revisit it later, record the agreed date instead of sending repeated reminders.

What happens when a quotation expires?

Check your current rates, scope and availability before issuing a revised quotation. Do not describe an expired quote as confirmed pricing or a confirmed appointment.

Is the free tracker saved to my account?

Record whether a job was booked, completed or lost, using the same definitions each time. If a customer shares why they declined, note it respectfully.
